System Codes - Territory Codes

Purpose

To define your salesman territories. You can add a new territory and/or edit an existing territory.

Overview

Territory codes are used to define territories or regions that your company does business with. Up to three sales representatives can be assigned to work with customers in one territory. As administrator, you can define territory codes that will be used by LegalSuite.

View Territory Codes

To view a list of territory codes currently defined in LegalSuite, make the menu selection Administration⇒System Codes⇒Territory Codes from the navigation bar.

To view information regarding a specific territory code, click on a code on the list. The Territory Code Details page will appear with details regarding that code. Refer to the section on "Add a Territory Code" for an explanation of each field displayed on that page.

Add A New Territory Code

To add a new territory code, click on the ADD NEW ENTRY button on the Territory Codes page.

All fields marked with an asterisk "*" are required.

1. Territory Code* – Enter a code for the territory you are adding. Example: 01.

2. Salesman 1, Salesman 2, Salesman 3 – Select a name from the pull-down menu for the sales representative that you wish to work this territory. Select additional salesmen, if applicable.

If you do not see the name of a sales representative you want to assign, you must add that sales representative to the LegalSuite database first. You can do this through the menu selection Administration⇒System Codes⇒Sales Representatives from the navigation bar.

3. Description – Enter a description of the territory code, for example what area of a state it covers. Exmpale: Northern California.

4. Click on the SAVE button to create the new territory code. Click on the CANCEL button to discard your changes.

Edit

Edit an Existing Territory Code

1. Select a territory code to edit.

There are two ways in which you can select a territory code:
- From the Territory Codes page - if you are viewing the list of territory codes, click on the "Edit" link for that territory code.
- From the Territory Code Details page - if you are viewing the details for a territory code, click on the EDIT DETAILS button on that page.

The Territory Code Details page will appear.

2. Make changes as necessary. Refer to the section "Add a Territory Code" for an explanation of each of the input fields.

3. Click on the UPDATE button to save your changes. Click on the CANCEL button to discard your changes.

Edit

Delete an Existing Territory Code

1. Select a territory code to delete. Refer to the section "Edit a Territory Code" on how to select a code.

2. The Territory Code Details page will appear. Scroll to the bottom of the page.

3. Click on the DELETE button to remove the territory code from the LegalSuite database.

4. You will be asked to confirm that you wish to delete the code. Click on "OK".

5. The code will be deleted from the LegalSuite database. It will no longer be seen on the Territory Codes page.
