Purpose

To define an area and assign a person (employee or affiliate) to service that area.

When a work order is created, it is automatically assigned to an employee or affiliate for the area that the work order is created for. Each area is identified by a code. That code specifies zip codes in that area as well as employees or affiliates that are assigned to work that area.

The orders will be assigned or suggested to be assigned to the employees and/or affiliates responsible for that area starting with the person at the top of the list. If he/she rejects the work order, it is up to the branch manager to reassign the work order.

View Area Codes

To view the list of the area codes currently defined in LegalSuite, make the menu selection Administration⇒System Codes⇒Area Maintenance from the navigation bar.

Area Maintenance

To view information regarding a specific area code, click on a code on the list. The Area Maintenance Details page will appear with details regarding that code. Refer to the section on "Add an Area Code" for an explanation of each field displayed on that page.

Add or Edit an Area Code

To add a code, click on the ADD NEW ENTRY button on the Area Maintenance page. To edit a code, click on the code to edit on the Area Maintenance page. Or click on the EDIT DETAILS button on the Area Maintenance Details page.

All required input fields are follow by an asterisk "*".

1. Code* – Enter a code for the area.

2. Name* – Enter a name that will be associated with the code.

3.State* – Select a state from the pull-down menu that the area to define is located.

4. County – Select a count from the pull-down menu that the area to define is located. Note that the contents of the pull-down menu changes based on what state you select.

5. Default Area – Check this box if you would like this area to be used as default when creating work orders, records, or forms in other parts of the LegalSuite database.

6. Branch* – If your office has more than one branch, select a branch from the pull-down menu that is responsible for this area.

7. Additional Price – Enter an additional price the customer must pay for any work orders processed for this area.

8. Deadline Time – Use the pull-down menus to enter a deadline time for any work orders for this area.

9. Deadline Price – Enter a price to add to the work order when it is processed if the deadline time is not met.

For the next fields (zip-codes, employees, and affiliates) selections are made in a similar way:
- To add a zip code, employee, or affiliate for the area: Click on an entry in the left list box then click on the "ADD" button. The entry will now appear in the right list box. You can add as many as you like. A warning will appear if you have already used the entry.
- To delete a zip code, employee, or affiliate for the area: Click on an entry in the right list box then click on the "REMOVE" button. The entry will now appear in the left list box.
- To select more than one entry: Hold down the CTRL key as you click on an entry.

10. Select the zip-code(s) that this area covers.

11. Choose the employee(s) that is responsible for this area.

12. Choose the affiliates(s) that connect to this area.

13. Click on the SAVE button to save your changes. Click on the CANCEL button to discard your changes.

Edit

Delete an Area Code

1. Click on the code to delete on the Area Maintenance page.

2. Scroll down to the bottom of the Area Maintenance Details page and click on the DELETE button.

3. You will be asked to confirm that you wish to perform this operation. Select "OK".

4. The code will be deleted from the LegalSuite database and no longer listed on the Area Maintenance page.
