To post the invoices that have already been printed.

Overview

After sending the customer a copy of the invoice, allowing that customer to review the invoice and shipment, you can post the work order to their billing account. Once you post the order with Accounts Receivable, it cannot be edited or changed.

To post an invoice, make the menu selection Billing⇒Invoice Post from the navigation bar.

Initially, the screen displays invoices of all work orders that have not yet been posted. You can narrow the list by searching for invoices by date or invoice number.

Note: An invoice will not appear on the Invoice Post page if it has not yet been printed. Refer to the section "Billing: Invoice Print" for more information on how to print an invoice.

Post an Invoice

1. You can select to search by date or invoice number by clicking on the appropriate radio button. Only one can be selected.

2. If searching by date, enter Start and End Dates by typing in the input fields or selecting from the calendar icon.

3. If searching by invoice number, enter a start and end for the range to search for. Or, if searching for a single invoice, enter the same number in both the Start and End values.

4. Click on the GO button to update the list of invoices listed with those that satisfy your search parameters.

5. Indicate which invoices you wish to post by placing a check mark in the appropriate boxes in the left-most column. You can also check the check box at the header row to automatically check the boxes for all the invoices listed.

6. You can specify a Post Date for the invoices that are to be posted. By default this input field is filled in with the current date. If you would like to post the invoices with a post date prior to the current date (in other words back post work orders), then enter the date or select from the calendar icon.

7. Click on the POST button to send the work order invoices to Accounts Receivable.

8. A message will be displayed indicating the Invoice Register number created for this post. Record the register number for future reference. You can print the register by selecting where to print from the pull-down menu and clicking on the PRINT button. Otherwise click on the CONTINUE button to continue selecting invoices to post. The Invoice Register can be printed at a later time through the menu selection Billing⇒Invoice Register Reprint from the navigation bar.

9. The work orders whose invoices have just been posted are now final; no changes can be made to these work orders. The invoice information can now be viewed when you submit an Accounts Receivable Inquiry in LegalSuite.
