Once a work order has been processed, billed, and paid in full, it is considered closed and archived in the LegalSuite database. The work order can later be used to create a duplicate work order. It can also be used to apply a credit for that work order to the customer’s account.
EditSelect a Work Order
1. Make the menu selection
Accounting⇒Account Receivables⇒Order Duplication/Credits from the navigation bar.

Customer # - Enter a customer number for the work order to duplicate or credit. Or click on the search icon to select from the Search window.

Invoice # - Enter the invoice number of the work order if you know it.
4. Click on the
GO button. The Order Duplication / Credits page will be updated to display a list of invoices that satisfy your search parameters.

5. Check the box for the work order that you wish to duplicate or credit.
6. Click on the
SUBMIT button.
EditCredit an Order
To credit an invoice for the chosen work order:

1. New Record Type - Select "Credit" for the new record type. By default, "Order" is selected when you first bring up this page.
2. Click on the SUBMIT button. A credit memo will be created for the invoice of that work order. the account of the customer will also be credited the amount that was charged for processing that work order.
EditDuplicate an Order
To duplicate a work order that has already been closed and archived in the LegalSuite databse, make the following selections on the Order Duplication/Credits page:

New Record Type - Select "Order" for the new record type. By default, this will already be selected when you first bring up this page.

Copy Order - Choose one of the following options:
- Copy Customer Data to Header: When the work order is duplicated, the customer data will be copied over to the duplicate.
- Copy Other Original Data to Header: When the work order is duplicated, customer data as well as case information and specifics regarding the order will also be copied to the duplicate. Additional input fields will appear for you to enter values for, if desired:

- Update Prices: Update any prices for the duplicate work order to the current prices used by LegalSuite.
- Copy Order Notes: Copy any notes for the original work order to the duplicate work order.
- New Branch: If desired, select a different branch for the duplicate work order, for example the branch that is creating the work order.
3. Click on the
SUBMIT button. The Work Order Details page will appear. From here, you will continue as if you are entering a new work order. The only difference is that values are already filled in for the work order based on the original work order. Refer to the section “Orders: New Work Order” for more information on creating a new work order of the chosen job type. Once you click on the
Complete Order button on the Work Order Details window, a new work order number will be assigned to this work order.
