LegalSuite can be customized to use forms that your company uses. It can also be set up so that fields on these forms are either automatically filled in with data stored in LegalSuite or editable by the LegalSuite user. To do this, several steps must first be taken:
1. Before using the LegalSuite application, scan your forms as PDF format onto your computer.
2. Use a PDF editor to insert form tokens where data can be entered by LegalSuite. Form tokens are used to indicate where on the PDF form a value needs to be automatically filled in or where the user must enter a value. To view the list of form tokens that are used by the LegalSuite database, make the menu selection Administration⇒System Codes⇒Form Tokens from the navigation bar of LegalSuite. A tab called “FMT” will be created for the Form Tokens page:

3. Save the modified PDF onto your computer.
4. Run the LegalSuite application and upload the modified PDF into the LegalSuite database by making the menu selection Administration⇒System Codes⇒Form Maintenance from the navigation bar. Refer to the section “Administration: System Codes – Form Maintenance” for more information on this topic.
Now, when you create a new work order, you can specify what forms are to be attached to it depending on what job type the work order is for. As the final step of creating the work order, the attached form will be displayed in an Adobe PDF Reader window; LegalSuite will automatically fill in fields where possible (in other words where you had inserted form tokens using the PDF editor) with data you entered for the work order. Other fields will be editable (again, where form tokens were inserted) so that you can enter information specific to the work order.
Note that the form tokens listed on the Form Tokens page are for viewing purposes only; new tokens cannot be added here, nor can the tokens be edited. If you require additional tokens, see your system administrator.
