Product codes are used to charge the customer for each action that was taken to process a work order. When you choose to close a work order, you will see the product codes listed for that type of work order under the “Close Order” tab of the work order details. Refer to the section “Orders: Branch Status Board” for more information on closing a work order.
EditView Product Codes
To view the product codes currently defined in LegalSuite, make the menu selection
Pricing⇒Products Pricing⇒Product Codes from the navigation bar.

EditAdd a Product Code
To add a product code to the LegalSuite database, click on the ADD NEW ENTRY button on the Product Codes page. The Product Code Details page will appear:

All fields marked with an asterisk “*” are required; you must enter a value for that input field before the product code can be saved into the LegalSuite database.1.
Code* – Enter a product code for the action or service.

Name* – Enter a name for the product code you are creating or updating.

Products* – Select from the pull-down menu which product, in other words type of work order, this product code applies to.

Price ($)* – Enter the price for this type of action or service.

Order Priority – Select from the pull-down menu the priority for the listing of this product code. When a work order is being closed through the Branch Status Board, the product codes that pertain to the work order type (for example, Serve) will be listed for selection in the Work Order Billing section of the “Close Order” tab. This priority is used in determining where in the product code will be displayed on the list.

Min. Quantity – Specify the minimum quantity allowed for this product code; this is used to set the quantity limit for this type of action or service when closing a work order.

Max Quantity – Specify the maximum quantity allowed for this product code; this is used to set the quantity limit for this type of action or service when closing a work order.

G/L Code – Select from the pull-down menu the general ledger account that will be used to process this product code.

Activation Limit – Select from the pull-down menu a time limit for when a new work order that uses this product code should be moved from the Incoming Orders list to the Active Orders list on Branch Status Board.
When a new work order is created, it is date and timed stamped and then added to the Incoming Orders list of the Branch Status Board. The order entry will appear with a white background on the list. The work order must now be accepted or rejected by the field person assigned to process it. If it is not accepted or rejected in the amount of time specified in this input field, then the order entry is highlighted in yellow on the Branch Status Board. Refer to the section “Orders: Branch Status Board” for more information on this topic.

Status Limit – Select from the pull-down menu a time limit for when the status of a work order should be changed.
When a work order is being processed, its status can be updated using the Branch Status Board. If its status is not updated in the amount of time specified in this input field, the background of the order entry on the Branch Status Board will appear in yellow. Refer to the section “Orders: Branch Status Board” for more information on this topic.

Commission – Check this box if the salesperson assigned to this work order get a commission when this type of action or service is used.

Taxable – Check this box if the charge for this product code is taxable.
13.
Website Item – Check this box if the service or action is used for a website item.
14.
Order Close Item – Check this box if the service or action is used to close a work order.
15.
Enforce Deadline – Check this box if your company deadline is to be enforced for work orders using this product code. Company deadline parameters are set by the administrator through Area Maintenance and Court Maintenance.
16.
Description – Enter a description of this product code, for example what it is used for.
17.
Price Breaks:
You can specify up to three levels of price breaks if this action or service is used multiple times to process an order.
18.
Max Quantity – Enter the maximum number of times the action or service is to be used before the specified price break will apply.
19.
Price – Enter the alternate price of the service when the price break is applied.
Click on the
SAVE button to add the new product code to the database. Click on the
CANCEL button to discard your changes.
EditEdit an Existing Product Code
1. Select a product code to edit.
There are two ways in which you can select product code:
- From the PRoduct Codes page - if you are viewing the list of product codes, click on the "Edit" link for the product code you wish to edit.
- From the Product Code Details page - if you are viewing the details for a product code, click on the EDIT DETAILS button on that page.
The Product Code Details page will appear.
2. Make changes as necessary. Refer to the section "Add a Product Code" for an explanation of each of the input fields.
3. Click on the UPDATE button to save your changes. Click on the CANCEL button to discard your changes.

EditDelete a Product Code
1. Select a product code to delete. Refer to the section "Edit a Product Code" on how to select a code.
2. The Product Code Details page will appear. Scroll to the bottom of the page.
3. Click on the DELETE button to remove the product code from the LegalSuite database.
4. You will be asked to confirm that you wish to delete the code. Click on "OK".
5. The code will be deleted from the LegalSuite database. It will no longer be seen on the Product Codes page.
