Purpose

To create a New Work Order for "File and Serve" using an existing case in LegalSuite.

Overview

The LegalSuite application provides the capability of creating a work order for either “File” or “Serve”. You can also combine the two services in one work order if the job calls for it.

New Work Order

Make the menu selection from the Navigation Bar: Orders ⇒ New Work Order. You will see the following screen:

An asterisk (*) means a value is required for that field a. Customer #:* Type in a customer number. If you do not know it, click on the search icon to view the list of customers in the LegalSuite database. Click on a customer number and the Customer # field will update automatically with that number. The case list will also be updated to display all the cases in LegalSuite for this customer.

Note: The customer must already exist in the LegalSuite database; you can verify under Customer Maintenance. If it does not, you must first create the customer in Customer Maintenance before continuing.

c. Job Type:* Select the type of job for this new work order, in this case File and Serve.

d. Service Level:* Select the level of service to indicate the level of urgency that the order must be completed.

e. Case #:* Type in the case number if you know it or select one from the Case List. Click on a case number and the Case # field will update automatically.

f. Notes: Type in any important notes in the text box regarding this work order request.

g. Click on the CONTINUE button - this brings up the Work Order Details screen.

h. The tabs presented on the details page are used to specify information for the “File” part of the work order.

Its functionality is exactly the same as when you create a work order for a “File” job type. Refer to the section “New Work Order - File” for an explanation of the input fields under these tabs.

i. Once you get to the "Special Details" tab, click on the "ADD SERVE" button to add information for the parties to serve for this work order.

j. A work order is automatically created for the “File” portion of the work order and a number is assigned that ends with “-01”, for example “100103-01”.

k. The page will be updated to display tabs that are exactly what you see get you choose to create a work order for a “Serve” job type.

Its functionality is exactly the same as when you create a work order for a “serve” job type. Refer to the section “New Work Order - Serve” for an explanation of the input fields under these tabs.

l. Each time you select the ADD SERVE button, a work order will be created, incrementing the number for the base work order number, in this case “100103” (for example, 100103-02, 100103-03, etc.).

Completing the New Work Order

Click on the COMPLETE ORDER button on the Work Order Details page.

The new work order request for File and Serve has been entered successfully. Note the new Order Numbers for each of the work orders created.

You can print any of these work order by selecting a printer from the drop down menu for that work order and clicking on the PRINT button.
