In order to manage your customer’s accounts, one of the features that should be performed on a regular basis is generating accounts receivable aging reports. These reports show any outstanding balances your customer may have.
To generate an aging report, make the menu selection
Accounting⇒Account Receivables⇒A/R Aging from the navigation bar.

From this page, you can specify the parameters for the type of aging report you would like to generate.
EditGenerate a Report
Please Note: If you do not select or modify any of the fields in this section, the report will be generated based on the default information already entered in each field.1.
Saved Reports: By default, this selection box will show “Custom”. If you click on the down arrow to display the pull-down menu, the menu will list the names of customized reports that have been previously generated and saved. For more information on how to customize a report, refer to the section below on “Customize a Report”.

Aging Date: Enter a date to use for calculating and displaying past due amounts. By default, today’s date is displayed. You can type in a date in the format mm/dd/yyyy or select from the calendar icon.

From Customer, To Customer: Note that the search is done using customer numbers and not customer names. For example, if you enter 100004 for From Customer and 100015 for To Customer, the search engine will look for any records that have a customer number of 100004, 100005, 100006, etc. up through 100015. If you do not know the customer number, you can search for it by clicking on the search icon next to the From/To Customer input fields.
- Multiple Customer Accounts - Specify a range of customers for which you would like to perform a search, for example 100004 for From Customer and 100015 for To Customer.
- All Customer Accounts - By default, From Customer is blank and To Customer is set to ”zzzzzz”. If a search is done using these values, all customers in the database will be used to generate the report.
- Single Customer Account - If you are interested in a specific customer, enter the same customer number in both the From Customer and To Customer fields.

Report Sort By: Select from the pull-down menu how you want the information sorted on the report. By default, the information will be sorted by customer number.

Invoice Sort By: Select from the pull-down menu how you want the invoices sorted on the report. By default, the information will be sorted by invoice number.

Print Invoice Detail: Check this box if you would like to see invoice details on the report.

Print Address: Check this box if you would like to see each customer’s address information on the report.
Click on the
SUBMIT button to generate the aging report. Refer to the section "Generated Aging Report" below for more information on what is displayed on the report.
Click on the
SAVE button to save the input values you've entered for use at a later time to generate a customized report. Refer to the section below "Customize an Aging Report" for more information on this topic.
EditGenerated Aging Report
Once you click on the
SUBMIT button to generate an aging report, the database will be searched for all records that satisfy your search parameters. Only customers within your search parameters that have a balance due will be listed.
The following is an example of a standard report, sorted by customer number:

To print the report, select a print device from the Print To pull-down menu, then click on the PRINT button. You can also click on the EXPORT button to export this report to a Microsoft Excel file.
EditCustomize an Aging Report
To customize an aging report, make the menu selection
Accounting⇒Accounts Receivable⇒A/R Aging from the navigation bar and enter the desired search parameters on the resulting tabbed page called “ARA”. Refer to the section above “How to Generate an Aging Report” for more information on the search input fields. Once you have entered the desired search parameters, you can click on the
SUBMIT button to generate the report. Or you can click on the
SAVE button to save these search parameters for later use.
1. If you click on the
SAVE button, you will be prompted for a title for the set of search parameters you have specified. For example:

2. Enter a report title and click on the
SUBMIT button. In the example above, the title is “customer 100003”.
3. Once you click on the
SUBMIT button, you will see a message below the page title that says something similar to “Report customer 100003 has been saved.” The report title will be added to the Saved Reports drop-down menu on this page so that you can select it at a future time.

4. The next time you choose to generate a report, you can select this title from the Saved Reports drop-down menu and the input fields on the page will automatically be filled with the search parameters you saved for that title. You have the option to edit those fields, for example to update the dates, before clicking on the
SUBMIT button to generate the report.
EditDelete Customized Report Search Parameterse
If you no longer need to generate reports using the customized search parameters you previously saved, you can delete the saved search parameters. Make the menu selection
Accounting⇒Accounts Receivable⇒A/R Aging from the navigation bar.
1. On the resulting tabbed page labeled “ARA”, click on the down arrow of the Saved Reports drop-down menu and select the report title that you wish to delete, for example “customer 100003”.
2. The page will automatically be updated with the search parameters for that report, and a
DELETE button will appear next to the
SAVE button.

3. Click on the
DELETE button and a confirmation window will appear asking “Are you sure you want to delete this Report?”
4. Click on
OK to delete it or
Cancel to ignore your request. If you click on
OK, you will see a message below the page title that says something similar to “Report customer 100003 has been deleted.” The report name will also be removed from the Saved Reports drop-down menu.
